Allocate your budget
Divide expenses into two groups: one-time and recurring. The first includes equipment, delivery, site preparation, and launch. The second covers agreed maintenance, consumables, licenses, and team labor.
Request a detailed itemized quote
Ask for a proposal with separate line items. This makes it easier to see if a charging station, extra batteries, grippers, training, and setup are included. Don’t assume additional equipment is part of the base price without confirmation.
Estimate team time
Record how much time is needed for training, daily setup, and supervision. It’s useful to account for the person responsible for the device in your project plan.
Set comparison criteria
Compare offers for the same task, configuration, and operating period. Specify the currency, calculation date, and list of exclusions. A lower purchase price doesn’t always mean lower costs over the chosen period.
Check downtime scenarios
Discuss what happens in case of a malfunction: who receives the request, where the device is sent, and how to continue operations. Don’t include a replacement robot in your plan unless it’s part of the terms.
Base decisions on measurable results
To assess project outcomes, set a baseline metric and how it will be measured. Calculate ROI based on your workload and costs, not by copying someone else’s case.
Let's move on to your task.
